Information for Applicants

Purpose of the Erasmus Internship

The purpose of the programme is to assist in acquiring skills necessary in the labour market and in the understanding of the economic and social culture of the host country by spending a certain period at the foreign organisation.

Application criteria

1) The student is a Hungarian citizen or studies for a degree at the Corvinus University of Budapest.

2) Language proficiency of min. B2 level in the working language of the applied internship.

3) Min. 1 closed active semester.

4) A place confirmed to host the applicant. (The only exception is graduate students who may not have found a host organisation due to the urgency of submitting the application before receiving the absolutorium. Finding a host organisation is the responsibility of the student (see below for details).

5) The student has a minimum of 2 unused Erasmus+ months.

6) The applicant student has not received the absolutorium yet (it is applicable when the student wishes to participate in the internship after receiving the absolutorium, too).

7) According to the Erasmus+ regulations every Erasmus+ internship completed before the absolutorium has to be included in the student’s diploma supplement. This rule also applies to those students who do a voluntary internship in the framework of the Erasmus+ programme that is not mandatory to their studies at CUB. Regarding this matter please always contact the cognisant student registration Officer and/or internship coordinator.

Important aspects and criteria

1) Possible duration of the mobility: 2 to 12 months.

2) A min. of 30 working hours/week shall be completed.

3) The host country shall be one of the following Erasmus+ countries: Austria, Belgium, Bulgaria, Cyprus, Czech Republic, Denmark, Estonia, Finland, France, Greece, the Netherlands, Croatia, Ireland, Iceland, Poland, Latvia, Liechtenstein, Lithuania, Luxembourg, Macedonia, Malta, Great Britain, Germany, Norway, Italy, Portugal, Romania, Spain, Sweden, Slovakia, Slovenia, Turkey.

 – Students wishing to participate in an internship in a country other than the above, may apply for a Campus Mundi grant. Its condition is to first submit the internship application online in Mobility Manager and via e-mail to the institutional Erasmus+ internship coordinator. For further information about application, see point IV. below.

4) Scholarship:

a) In an Erasmus+ country:
    – Erasmus+ grant: ATTENTION! Grants are subject to the current status of the institutional Erasmus+ budget and to the contracting order.
    – Campus Mundi grant: We kindly draw your attention to the fact that from March 2019 Campus Mundi scholarship is not available any more regarding internships done in an Erasmus+ country. Naturally, students who do an internship in an Erasmus+ country can still apply for Erasmus+ scholarship. I.e. Campus Mundi scholarship is available solely in non-Erasmus+ countries.

  – An Erasmus+ scholarship can only be awarded for a period that the participant physically spends in the host country (physically appearing to work at the host company / home office while physically staying in the host country). Any period spent by a participant in a place other than the host country can not be granted within the Erasmus+ framework (e.g. short home visits, short holidays do not fall into this category). Even if the participant continues to work from ‘home office’ during this time.

b) In a non-Erasmus+ country: Students need to apply for Campus Mundi scholarship. Its condition is to first submit the Corvinus application online in Mobility Manager and in printed form in Room No E.159. For further information about application, see point IV. below. For more information please visit the CUB Campus Mundi website.

5) For the 12 months following the receipt of the absolutorium, students may participate in the programme, nevertheless, the application shall be submitted before receiving the absolutorium.

a) For students graduating in the Fall semester, the application deadline is uniformly January 30 of the given year / min. 30 days before the start date of the internship if the mobility starts before 1 March of the given year. For students graduating in the Spring semester, the application deadline is uniformly 30 June of the given year /  min. 30 days before the start date of the internship if the mobility starts before 30 July of the given year.
b) There are two types of Erasmus + internships: pre-graduate and post-graduate. The former begins before graduation and must end before graduation. The latter begins after graduation and must be completed within 12 months of graduation (or earlier, depending on the duration of the current Erasmus + project and the student’s remaining eligible Erasmus + days).
c) In the case of a traineeship which starts before graduation and ends after graduation, the traineeship has to be divided into two different mobilities: one before graduation and one after graduation. In this case, two applications must be submitted! It is very important that since the pre-graduate and post-graduate sections are considered to be two separate mobilities, they are subject to the Erasmus+ regulations, according to which both of them must be min. 60 days long.

6) It can be an internship mandatory for the studies or a job/internship completed by personal ambition.

     – If the student wishes to complete the internship obligatory for his/her studies abroad, he/she can get information about its acceptability and recognition from the Institutional Internship Coordinator and/or from his/her Student Affairs Officer. The Erasmus+ internship coordinator may help only in Erasmus+ related questions.

7) Application for grant is possible in the case of volunteer and payed positions, too. The level of salary provided by the host organisation does not affect the amount of the grant. The grant is a fixed amount determined by the European Commission in advance by semester and country.

8) Each student has 12 Erasmus+ months per study cycle (bachelor, master, doctoral).

          – This 12 month includes previously completed partial training and internship mobility periods within the present study cycle of the student.

          – The 12 months shall include former zero grant status Erasmus+ days (e.g., participation in Campus Mundi), too.

          – Previously completed LLP mobility shall also be included, even if zero grant was provided.

9) Activity of Assistant Professor mobility shall be considered an internship, too.

10) Students shall be entitled to receive the study grant or other loan provided by their home institution during the period spent abroad, too.

11) The student shall have an active student status throughout the whole Erasmus+ mobility period. The student shall register for the active status for a given semester even if the internship overlaps with that semester for a single day only. The only exceptions are Summer internships (Erasmus+ mobility may not overlap with the official end of the Spring semester and the official beginning of the Autumn semester, either) and internships done after receiving the absolutorium. Otherwise, the whole Erasmus+ grant shall be repaid.

Please finalise your application in  Mobility Manager, and then submit your application documents via e-mail to the Erasmus+ internship coordinator (see below for the contact), whether you travel to an Erasmus+ country or not.

12) Please be noted that the following organisations are EXCLUDED from the Erasmus+ programme:

  • European Parliament
  • European Council
  • Council of the European Union
  • European Commission
  • Court of Justice of the European Union (CJEU)
  • European Central Bank (ECB)

   a) Data at the top of the first page shall be completed.

   b) Table A and Table C shall be completed by the employer.

   c) Table B shall be completed by you. The home institution (CUB) does not provide either accident or liability insurance so please put “No” everywhere.

   d) In Table B, you shall complete only the sub-tables 1 or 2 or 3 depending on whether you complete an obligatory internship (1) a voluntary internship (2) or a internship after graduation (3) abroad. In the case of an obligatory traineeship, please use the dedicated TA template (downloadable from the ‘Important documents’ section – see below).

    e) How to manage the TA: 1. Download the template from the ‘Important documents’ section (see below) – Make sure to use the proper template (academic year + voluntary/compulsary traineeship)!, 2. Fill in every point of the Word document that you have to fill out, 3. E-mail the half-completed word document to your employer to fill in the missing sections., 4. You print, date and sign the document in blue ink., 7. Deliver your TA to your Erasmus+ internship coordinator by e-mail., 8. Signature within the Corvinus University will be arranged by your coordinator.

9) Erasmus+ grant contract: Prerequisites for the grant contract are: excel data sheet, online language test, accident + liability insuranc. Letter of Acceptance. Following their submission, your coordinator prepares your grant contract and send it to you by e-mail. Please read it carefully and check the data. Please indicate any necessary corrections in due time. 3 copies of the contract printed, attached together, dated and signed in blue ink by you shall be submitted to your coordinator at least 2 weeks before your travelling. Since no contract may be concluded with a retroactive effect, the contract shall be signed by you and the responsible persons of the University on the starting day of the mobility at the latest. Please remember that signature by the University may take one or two weeks so please start performing the above tasks not later then 30 days prior to the start date of your internship indicated in the Erasmus+ grant contract.

The student shall be responsible for the consequences of not complying with the deadline, including the shortening of the covered period and the reduction of the grant in case.

10) Payment of the Erasmus+ scholarship: The grant may be transferred only following the fulfillment of all the points above. The Erasmus + scholarship is paid in EUR, in one amount (100% pre-financing). This is why it is important that you meet the above deadlines, because this is the only way we can ensure that your scholarship arrives in your account by the time you travel, if possible. Please calculate the time required for administration and transaction, and, if necessary, be prepared for the need for self-financing in the initial period.

    – The Erasmus+ scholarship can only be awarded for a period that the participant physically spends in the host country (physically appearing to work at the host company / home office while physically staying in the host country). Any period spent by a participant in a place other than the host country can not be granted within the Erasmus+ framework (e.g. short home visits, short holidays do not fall into this category). Even if the participant continues to work from ‘home office’ during this time.

a) The Erasmus + scholarship will be transferred through the Neptun system in EUR.

b) The support can only be transferred to a bank account number that is registered in Neptun. It is the student’s duty and responsibility to record the correct bank details in Neptun!

c) Please be sure to enter the same bank details (IBAN code account number, currency, name of the bank, address of the bank, BIC/SWIFT code of the bank) in Neptun as you provided in the excel datasheet for the grant contract.

d) Please enter your bank details in Neptun as soon as possible, as it is beyond our capacities to check them. The transfer will automatically go to the bank account set in Neptun. Even if this is not the same bank account number that you provided in the excel datasheet, because the transfer is generated by the Neptun system.

e) If you have not opened an account yet / plan to open an account abroad, you can indicate it in the excel data sheet (“Bank account will be opened later.”). In this case, the scholarship transfer will not be initiated until you notify your Erasmus+ Internship Coordinator that you have opened the account. After having opened the new bank account, please immediately register it in Neptun and notify your coordinator, too. You should inform your coordinator in e-mail by re-submitting the updated version of the Excel datasheet including all the bank details.

f) As the scholarship will be transferred in EUR, it is recommended to have a EUR account.

g) The account number must be indicated with the IBAN code, but please make sure not to use any special characters (e.g. dash:  ” – “), also please avoid entering space. It means, the bank account number should look like as follows: HU70123456781234567812345678 (and NOT like this: HU70-12345678-12345678-12345678, also NOT like this: HU70 12345678 12345678 12345678).

h) It is important that the account number to which you are requesting the Erasmus+ scholarship to be transferred is set as the default. If you are waiting for another transfer (e.g. a study grant) to another account number, also recorded in Neptun, the default setting must always be changed according to the due date of each transfer.

i) The bank account number in Neptun can be changed or a new bank account number can be added to the old one as follows: (You can also find a more detailed guide in the “Important documents” section).

        1. Finances > Settings > Bank accounts > Add bank account number (tick the foreign box)

        2. Enter the IBAN code bank account number (tick the IBAN section) and the BIC / SWIFT code of the bank (and, if Neptun allows, the name and address of the bank)

        3. It is very important to set the account number as your default account number otherwise your scholarship cannot be transferred to it.

        4. Press save (after that it will be active. If you need to change, you can correct the data by clicking on the + sign beside it).

11) Grant categories to be provided are described on the website of Tempus Public Foundation (only in Hungarian).

   a) Social grant (+ €100/month):
         – Call for applications for social grant for Erasmus+ internship students
         – Submission deadline: one month before the mobility at the latest
         – The application form shall be requested from the coordinator in e-mail.

   b) Supplementary grant for students living with a permanent illness / disability:

– The amount awarded may vary by student. The decision is taken by Tempus Public Foundation involving a medical expert group.
– Applications may be submitted twice a year, usually around 24-25 of May and of October. Calls for applications are shared beforehand, however, if you are concerned and wish to apply, you should inquire about it with your coordinator in due time.
– Award decisions are usually taken by the end of July for applications submitted in May and by the end of December for applications submitted in October.
– You should apply only if there is time to amend the Erasmus+ grant contract upon the taking of the decision (end of July/end of December) because the supplementary grant becomes valid by the amendment of the contract and may be transferred following it only. The amendment of the contract may consume as many as 3 to 4 weeks since the amended contract shall be sent by post from abroad and then signed by CUB. So this support is worth applying only if the grant contract is in force by the end of August/end of January at least (with a view to the included mobility closing date) so that sufficient time be left for amendment following the decision.
– Since the amount awarded necessitates an item-by-item statement, invoices and receipts of each expenditure incurred in relation to the illness shall be kept.

So we recommend that you start completing your tasks 30 days before the travelling at the latest when you already have your host organisation. Otherwise, you cannot keep the deadline and lose a part/ the possibility of your Erasmus grant.

Conditions for contracting:
– Letter of Acceptance (at least in electronic format)
– Accident and liability insurance
– Data sheet
– Online language test

Conditions of transferring the grant:

– Conclusion of the grant contract (signed by You and the representatives of the university)
– Letter of Acceptance
– Training Agreement
– EU health insurance card (except if you are not an EU citizen)

Information for the period of the mobility

1) When starting your internship, please send a scanned version of the Certificate of Arrival containing the date of your starting printed on company-headed paper, issued, signed and sealed by your employer to the Erasmus+ intersnship coordinator via e-mail. Submission deadline: within one week following the starting of mobility at the latest.

2) Please check that your student status complies with Erasmus+ rules: students still studying should have an active student status (students having their absolutorium are an exception of course).

3) Please send your supporting documents (train ticket / bus ticket / flight ticket / boarding pass / other) to your Erasmus+ Internship Coordinator by e-mail. It is very important to have a document that shows the name of the passenger, the exact date of the trip, and the destination of the trip.

4) Prolongation:

a) If in the meantime you and your employer agree to continue employment and you wish to prolong your mobility, please indicate your intent of prolongation to your Erasmus+ coordinator by e-mail. Since the amendment of the contract consumes some time, its deadline is one month before the closing date of the mobility determined in the original contract at the latest. If the institution’s grant budget and the available max. 12 Erasmus+ months make it possible and if the prolongation does not exceed the max. 12 months following the receipt of the absolutorium and the closing date of the Erasmus project of the current academic year, we may provide financial support for the extra period, too.

Tasks necessary for prolongation:

b) A new Letter of Acceptance which is printed on the company-headed paper, signed and sealed, similar to the previous one shall be required by which the employer confirms your further employment. It shall contain the new prolonged closing date. Itshall be submitted to the Erasmus+ internship coordinator electronically, via e-mail (colorful scan/photo). We pay the supplementary grant only after the receipt of the new Letter of Acceptance.

c) The section “During the mobility” of the Training Agreement (page 3 of the document) shall be completed in agreement with the host organisation, printed in one copy and signed in blue ink (by you and the host organisation which shall seal it; signature by CUB shall be administered by your coordinator) and send it to your coordinator via e-mail (colorful scan/photo). We pay the supplementary grant only after the receipt of the document.

d)  Your accident and liability insurance shall be prolonged or a new one shall be taken for the extra period. Either option shall be confirmed by a contract or policy issued by the insurance company. It shall be send by e-mail to your Erasmus+ coordinator.

e) Completing the above detailed tasks necessary for prolongation, your coordinator prepares your amended contract sends it to you by e-mail. You shall submit 3 signed, original copies of it to the Erasmus+ Office by post. Since you shall be abroad by this time, you may submit it by post only which further slows down the process. Contracts may be amended during the validity of the original contract only (and not with a retroactive effect!) which ends on the original closing day of the mobility. It means that you shall have complied with the above tasks, the amended contract signed by you shall have been received by the Erasmus+ Office and the representatives of the University shall have signed the amendment by that time. For completing all this in time, it is imperative to comply with the above deadline (please start the prolongation process at least one month before the original closing date of your mobility). Otherwise we may not be able to consider your application.

f) Afterwards, if the institutional grant budget makes it possible subject to preliminary consultation, we pay the supplementary grant you are entitled to for the prolonged period to you.

g) Please log in to  Online Linguistic Support system where you completed the online language test before travelling (you may request a new password by e-mail if you forgot the original), and change the closing date of your mobility according to the prolongation so that OLS does not send a language test to you before its due time.

Information for closing the mobility

1) Please have the section “After the mobility” of the Training Agreement (page 4 of the document) completed, signed in blue ink and sealed by your employer and send a color scanned copy to your Erasmus+ coordinator via e-mail. Its deadline is two weeks following the end of the internship at the very latest. Very important: The date of issuance cannot be earlier than the date confirmed as the last day of the internship. It shall confirm the effective length of your stay abroad, too, which shall be compared to the number of days supported given in the grant contract. If your employer confirms a period shorter with more than 5 days, you shall have a pro-rata repayment obligation for the unused days. If the number of confirmed days does not reach the 60 days required as a minimum in the Erasmus+ internship programme (please remember that all months are considered as having 30 days in the Erasmus+ programme), you shall repay your whole grant.
The submission deadline of the document is two weeks following the end of the internship at the latest.

2)  The Erasmus+ scholarship can only be awarded for a period that the participant physically spends in the host country (physically appearing to work at the host company / home office while physically staying in the host country). Any period spent by a participant in a place other than the host country can not be granted within the Erasmus+ framework (e.g. short home visits, short holidays do not fall into this category). Even if the participant continues to work from ‘home office’ during this time.

As proof of the period spent physically in the host country, please attach additional documents (flight ticket / train ticket / bus ticket / boarding pass) to the TA after the mobility by e-mail, proving the exact time of your arrival(s) and departure(s). Be sure to keep them!

3) The Online Linguistic Support system shall automatically send you a 2nd language test to be completed by you within 1 week as a maximum. Please check your spam and promotion folders, too.  If you cannot find this e-mail, please log in directly to the OLS site (you may request a new password by e-mail if you forgot the original) and complete the 2nd language test. Please inform your coordinator in e-mail about the completion because the system does not send a notification about it.
– Deadline: two weeks following the end of the internship at the latest.
– If you passed the C2 level at the first language test, no second language test should be completed, and the system shall not send you the link.

4) You shall receive a link by e-mail to the so-called EU survey. Please complete it within one week as a maximum and notify your coordinator about completion. Please check your spam and promotion folders, too. The e-mail shall be sent from replies-will-be-discarded@ec.europa.eu.
– Deadline: two weeks following the end of the internship at the latest.

5) Please write a report on your Erasmus+ internship mobility, which we can upload to the University website. The purpose of the report is to help future Erasmus+ students with ideas, advice, and share useful information and knowledge with the citizens of the university. Reports should be sent to your Erasmus+ internship coordinator by e-mail in DOC, DOCX or PDF format. You may find the template of the report and a guide to the filling among the ‘important documents’ below.
– Deadline for submission: within two weeks after the end of the mobility.

6)  According to the Erasmus + rules, all Erasmus+ internships that took place before obtaining the pre-degree certificate (absolutorium) must be included in the student’s diploma supplement. This call also applies to those who undertake a voluntary traineeship under the Erasmus+ program, i.e. not compulsory for the student’s studies at Corvinus. Please contact your study lecturer and / or the person responsible for the traineeship and please ensure that your Erasmus+ traineeship is included in your diploma supplement.
